CCI Registration Policies and Procedures

Overview

A collection of policies and procedures related to registration. These as appropriate apply to undergraduate and graduate students in CCI plus and non-CCI students wishing to enroll in a CCI course.

Exceptions to CCI Registration Policies and Processes

Any exceptions to CCI registration policies or procedures require permission from the appropriate Associate Department Head (ADH)/Department Head (DH), Academic Operations and the Director of Advising. CCI cannot provide an exception to a Drexel University policy.

Classes While on Co-op

During a term placed on co-op, students cannot enroll before the co-op time ticket begins. Registration is only allowed if there are available seats in the course and the class does not conflict with the co-op position. Additional seats or sections will not be added to accommodate requests from students placed on co-op.

Closed Section Overrides (CSO)

This policy applies to undergraduate and graduate students.

A CSO is used to accommodate students in special circumstances:

  • Graduating senior who needs the course to graduate on time
  • Student not placed on co-op who needs a course(s) to maintain enrollment status
  • A section is cancelled due to low enrollment to place the student in an alternate course to maintain status
  • Consideration will be given to special populations to remain compliant and on track for graduation

CSOs cannot be approved for:

  • Students placed on co-op are not eligible for a CSO (University policy)
  • Faculty member cannot approve a CSO, students should consult with their academic advisor
  • CSOs will not be approved due to time or instructor preferences
  • CSOs will not be approved for a course overload

Course Substitutions

This policy applies to all undergraduate and graduate students.

Request for course substitutions must be received no later than the first day of each academic term and approval by the end of drop/add (Week 1). Students must submit a written request to their academic advisor. The request will be determined on a case-by-case basis, advisor recommendation, and final approval by the Associate Department Head (ADH) and/or appropriate Program Director.

Note: If students fail to submit a course substitution request by the deadline, they will need to find another means of meeting the degree requirement.

Independent Studies (IS)

This policy applies to all undergraduate and graduate students, both face-to-face and online students.

The agreement should be formalized by completing the IS form forwarding the completed form to your academic advisor. Students may not take an independent study if there is a course that the University offers that covers the same topics. All CCI majors may choose any type of full-time faculty member from within the College. All faculty can be found on CCI’s website. The workload as presented in the IS should justify the number of desirable credits. Typically, if it is a 3-credit course the student should have content equivalent to 3 hours each week. No more than 12 credits of Independent Study will count toward graduation credits (undergraduate only) and 9 credits (graduate only).

Non-CCI Student Requesting a Seat in a CCI Graduate Course

This policy applies graduate students who are not enrolled in a CCI major or minor.

Process:

  • Student meets with academic advisor to make sure they meet prerequisite;
  • Then the academic advisor will assist the student in registering after CCI graduate students are registered (week 9), if space is available;
  • No CSOs will be processed, only space available if there is space.

Prerequisite’s waivers

This policy applies to all undergraduate and graduate students.

Prerequisite waivers are granted in very limited circumstances. If the exception is granted, students must understand they are not entitled to any considerations due to their lack of prerequisites. Prerequisite waivers must be received no later than the first day of each academic term and approval by the end of drop/add (Week 1). The request will be forwarded to the student’s academic advisor, along with any other relevant parties. The final decision will be made by the Associate Department Head.

Note: If you are requesting a prerequisite exemption for a required course, it does not exempt you from completing that course in the future.

Time Conflicts

This policy applies to all undergraduate and graduate students.

Students are not allowed to take courses that meet at the same time or overlap. Faculty cannot approve a course time conflict. Students with questions should consult with their academic advisor. 

Undergraduate Students Who Want to Take Graduate Courses

This policy applies to CCI undergraduate students who are not formally admitted to an approved CCI BSMS program.

Process:

  • Student meets with academic advisor to make sure they meet requirements – 3.0 or better cumulative GPA, the course will fulfill a degree requirement, and B or better grades in major related coursework. Students must have completed the required major related core courses up to the Pre-Junior level.
  • If the requested exception is for an elective that is not offered at the undergraduate level, an additional request will need to be reviewed by the Associate Department Head (ADH) for the courses to count toward the degree. (Please contact your academic advisor for the approved list of electives).
  • Students cannot request to take a graduate course that has an undergraduate course equivalency (Please see your academic advisor for approved list of equivalent courses).
  • Academic advisor makes an introduction of the student to appropriate faculty member (who will teach the course in question (CS)/or the lead of the area task force (IS) to discuss their background and why they want to take the course)
  • Student needs to provide unofficial transcript to faculty member
  • If faculty agrees a written notification to approve must be sent by the faculty to: 1) Associate Department Head (UG), 2) Academic Advisor, 3) Associate Department Head (GR)
  • Both ADHs need to give final approval to academic advisor
  • Then the academic advisor will assist the student in registering after GR students are registered (Week 9) if space is available
  • No Closed Section Overrides (CSOs) will be processed for undergraduate students wanting a graduate course, only if there is space available
  • Max of 2 graduate courses during undergraduate period
  • Only for CCI undergraduate students

Wait List (WL)

This policy applies to undergraduate and graduate students.

  • If a section is full students place themselves on the WL
  • Students should use the WL to request a seat in the face-to-face or online option they want to enroll in even if there is space in the opposite modality
  • WLs are reviewed after all time tickets are open for possible resolutions which can include:
    • Additional students in the section
    • Recommending available seats in another section
    • Add additional sections
    • Advisor review for who needs the section this term if all WL students cannot be accommodated
    • Students on co-op (placed) cannot be added to a closed course
    • Faculty members cannot approve a student to add a course from a WL, student must consult with academic advisor
