At the time of the initial IRB submission, the research coordinator/staff completes the Clinical Conductor New Study Set Up Request Form and the CCPay Card Request Form.

Please note that the use of CCPay Card for research subject fee payments MUST be approved by the IRB and requires the collection of a W-9 form [PDF] from each subject to be kept in departmental file.  (Subjects that receive $2,000 or more within a calendar year in stipend payments will be issued a 1099 form by the tax office at the end of the year.)

Yes, to assist research teams and to ensure functionality, please review the instructions to access the recommended CCPay Training courses found here. This training equips administrative, financial, and clinical research staff to manage CCPay payment processing, patient workflows, and participant payment infrastructure. For additional training resources, please refer to the Advarra University User Guide. 

Training is not required for participants, but the CCPay Cards will be provided with important instructions on how to activate, use and manage cards.

ClinCards are linked to Drexel’s current Clinical Trial Management System, Clinical Conductor. Your study must be set up in Clinical Conductor by the Office of Research and Innovation in order to initiate use of ClinCards. Upon receipt of the ClinicalConductor New Study Set Up Request Form and the ClinCard Request Form, the Participant Payments team will initiate study setup. Once your study is entered into Clinical Conductor, you will be notified by email that the study is set up and you will be requested to review the study to ensure all of the information is correct.

The requested cards will be mailed via FedEx directly from Advarra to the point-of-contact/responsible party identified on the request form. Shipping costs may vary based on the number of cards requested and shipping speed. Estimated shipping costs are available upon request for additional cards.

The costs of each CCPay Card is $3.00 and additional $1.00 per payment load. Your fund and org will not be charged for any fees until the card is activated. The fees will be charged to your Banner fund at the beginning of the month following the card activation.
