New Salus at Drexel Related Revenue and Expense Account Codes and Procedure - Effective Immediately
Effective immediately, we are establishing several new account codes to identify revenues and non-salary expenditures. These new account codes are as follows:
1377 – Auxiliary Revenues – Salus
1378 – Miscellaneous Income – Salus
3799 – Salus Expenses
The auxiliary and other revenue accounts should be used by Salus at Drexel to record revenues of this nature. Any budgeted revenues in these categories will be reclassified by the Office of Budget and Financial Planning and General Accounting in Period 5, by the end of the day on December 6, 2024.
The new 3799 account code will only be utilized for administrative cost centers that do not have unique orgs associated with Salus. PLEASE NOTE: The college programs and clinical areas of Salus at Drexel University, (i.e. any orgs that begin with 8XXX, AND Orgs 3600 – Office of the Provost – Salus, 4401 – Salus IT, Org 5185 – Salus Facilities Management) are not impacted by this change.
By close of business on December 6, 2024, the Office of Budget and Financial Planning will move any non-salary budgets for administrative areas to the new 3799 – Salus expense account code. These budgets will be loaded with the account number and its corresponding account description in the budget line description of account 3799 so that analytics can be performed, albeit manually. Salaries and fringe in these administrative areas are not impacted by these changes as there is already a mechanism to track Salus positions that transitioned to Drexel with a position code that has an “L”.
The Comptroller’s Office and the Office of Budget and Financial Planning will then work to move any transactions for Salus administration (except for Provost, IT and Facilities as noted above) to the new 3799 – Salus expense account code. We will move any items that can be identified by P-Card, Concur Travel and Expense, or through Smart Source, as originating from a Salus at Drexel employee and charged to an administrative cost center. These adjustments will also be made by the end of the day on December 6, 2024.
For financial managers of administrative cost centers, we urge you to review your financial report in Web Financials after we close November 2024, beginning on Monday, December 9, 2024, to ensure that any Salus at Drexel administrative related transaction was appropriately reclassed to the 3799 – Salus expenses account code. If you find anything that was missed, please submit a reclassification entry to move the expense to the new account code as soon as possible.
Prospectively, we ask that any new non-salary expenditures related to Salus at Drexel be charged to new account 3799– Salus expenses when a non-Salus specific org code is utilized.
