Grant Continuation Tool - Phase 2 (Cost Share Enhancements)

Overview

To improve efficiency, consistency, and control over grant continuation activity, the University is implementing Phase 2 of the Grant Continuation Tool.

This phase builds on existing functionality by extending automation to cost share activity associated with continuation awards.

New Functionality for Cost Share Continuations

The Grant Continuation Tool will now support automated handling of cost share for continuation awards:

  • When a grant continuation includes cost share, a new cost share fund will be created for the new grant period.
  • The cost share fund will align with the associated grant continuation.
  • Existing cost share fund conventions (Fund Type 12, typically beginning with 28) will continue to apply.

This ensures more consistent tracking of cost share across continuation periods.

Target go-live: Week of July 20, 2026

  • Reduces manual setup of cost share funds for continuation awards.
  • Improves consistency in fund creation across continuation periods.
  • Minimizes follow-up and repeated communication with departments.
  • Supports more efficient grant continuation and closeout processes.

Future Enhancements

A future phase (Phase 3) will further expand automation to address grants that end without continuation funding. In these cases, salary activity will be moved off the grant to a central unrestricted fund if no action is taken by the department. We anticipate that this phase will be rolled out in September 2026.
