Automating limited submission competitions
The Office of Research at Drexel University strives to enhance the research enterprise, including maintaining an investigator-focused infrastructure, facilitating and diversifying avenues for funding, and streamlining research processes. The ability to create, manage, and track-funding competitions is a collective need at Drexel to facilitate limited submission competitions. Across the university, the core components of these competitions are often quite similar but the infrastructure to support them can be all over the map and to date have been manual processes.
InfoReady Review™ solves these problems. In formulating their product, InfoReady Review worked with research administrators at multiple universities to develop a solution that empowers administrators to easily self-customize each competition to meet their needs – all in a single interface that reflects the academic workflow. It has the flexibility to handle multiple competitions with different parameters, not only within Drexel University but from university to university, as well. Furthermore, InfoReady Review™ assists the Office of Research in balancing a wide array of ongoing and future competitions. InfoReady Review™ can support a variety of academic competitions including:

Calendar Features—What this means for faculty?
Faculty and staff interested in entering into a limited submission competition will have access to view the live calendar feature at all times. The calendar will automatically update for all upcoming competitions and deadlines. Faculty can view the calendar by month or by event depending on their particular interest.
The calendar feature is available directly from the homepage. Once faculty are ready to enter into a competition they will be prompted to log in with their DrexelOne credentials and then will have access to apply, sign up for notifications, and track the progress of their submission.
The color coded events on the calendar will allow faculty and staff to assess which competitions are open and identify up and coming competitions and their related deadlines. The calendar will be updated with “Events” for competitions that have happened in previous years but the sponsor has not released the current year RFP. Once the new RFP is available, the competition will then be launched without lag time and immediately allow for submissions. Additionally, our goal overtime is ensure we have identified due dates for internal competitions that are well in advance of the funding organization’s deadline allowing more time for full proposal preparation and submission to the sponsor.
Reporting Features—How will this help us to reflect and improve?
Real-time views into the status of the applications and submissions throughout the review process and instant reports will be available to both faculty and staff members who are utilizing the system. Reports can be run by competition, award cycle, funding amount, discipline/subject area and more. Reports can also be run across competitions using various criteria including but not limited to: date, type of funding, source of funding, publications, PI, department/college, and cycle.
Reports from the system can also be utilized to assess the activity and success of our internal competitions as well as any areas of improvement or opportunity.
Automatic Notifications—Keeping everyone informed and up to date
Automatic notifications will be sent throughout the submission process to ensure faculty members that have applied are staying informed. All notifications will be automatically sent from the system at the time of submission, review, and close of the funding opportunity.
When faculty submit, they will have the option of including additional faculty or staff members to receive the notifications, as well. This will enable faculty members to keep their collaborators, Deans, staff and/or administrative assistants informed if they would prefer to do so.
Notifications will also be utilized to alert faculty review committees and allow them to access the system from any computer or tablet in order to review the submissions. Once they complete their reviews, the administrator will be alerted and will be able to move through the review process efficiently.
