Proposal Submission Reminders Academic Year 2012-13

The Office of Research would again like to highlight the proposal submission guidelines and associated deadlines contained within our online Policies and Guidelines statements.

  • In order to ensure sufficient time for review and compilation of proposals and 100% on-time submission to sponsors, Office of Research must receive proposals at least five working days prior to the sponsors’ due dates or ten working days when a subcontractor is included in a Drexel application.

Office of Research will do everything reasonably possible to ensure the on-time submission of every proposal. However, proposals that are submitted in accordance with the above guidelines will be given priority. Receiving proposals within the deadline allows us to make appropriate corrections and work closely with the PI’s to ensure the proposals are in the best shape possible prior to submission.
It is important to note that many of your colleagues across Drexel and DUCOM are submitting proposals at the same time, along with researchers across the country. Often, e-submission systems become sluggish closer to the deadlines, making log-ins, uploads and final submissions slow at best (e.g. Grants.gov). The later Office of Research receives finalized proposals for review and processing, the higher the risk of submission errors and/or failure.

Effective Monday, December 3, 2012, Office of Research will institute the following e-submission protocols, in order to better position proposals for success:

  • Electronically submitted proposals (e.g. Grants.gov SF-424, NSF Fastlane, etc.) must be received by Office of Research at least one (1) business day prior to the sponsor’s published deadline in order to ensure successful transmission through the sponsor’s online interface.
  • Coeus system-to-system (“S2S”) proposals must be complete, with all attachments and approvals in place, ready for transmission to sponsor, at least three (3) business days prior to the sponsor’s published deadline. S2S proposals not meeting this deadline must follow the e-submission guidelines above.
  • Investigators must have utilized the Coeus system for two or more proposals prior to attempting S2S submissions.

Again, Office of Research will do everything reasonably possible to ensure the on-time submission of every proposal, regardless of when we receive it. However, we cannot guarantee the successful submission of any proposal submitted to the Office of Research after the above deadlines.
