2011-2012 Student Organization Annual Recognition

The Office of Campus Activities (OCA) oversees the recognition processes for undergraduate and joint (membership of graduate and undergraduate) student organizations, and works with campus partners to recognize Club Sports, fraternities and sororities, and graduate-only student groups.  The following definitions, deadlines, guidelines, and procedures have been established for the recognition process.

Student organizations are an incredibly vital and important aspect of student life at Drexel University.  As such, a “student organization” is defined as, “a group of students whose open membership is centered on a unique mission and purpose that brings value to life at Drexel University and creates an opportunity for learning, student governance and leadership.”

In summary, a Drexel University “student organization”:

     •  Is completely student-run, governed, and organized
     •  Has opportunities, at both the executive and general member levels, for leadership
        growth and development
     •  Has membership open to all enrolled undergraduate and graduate students, unless
        granted an exception
     •  Possesses a mission, purpose, and goals unique from other recognized student
        organizations
     •  Provides value and enhances student life at Drexel University
     •  Must not serve solely as a mechanism to advance a University department
     •  Must not serve solely as a mechanism to advance a student’s academic status or grade
     •  Must not be started by a faculty or staff member

Additionally, student organization membership and activities must meet the core values of “educate, engage, inspire, and transform” as established by OCA:

     •  Educate: members learn, develop, and grow through involvement and are enlightened
        through event planning or attendance
     •  Engage: members are connected and committed to organizational goals and objectives
        which impact the community at large
     •  Inspire: members embrace the organizational mission which breeds enthusiasm within the
        organization and beyond
     •  Transform: membership  creates change in themselves and others

Lastly, the following tactical elements are required for full recognition status by established deadlines:

     •  The president, vice president (or second-in-command designee), and treasurer must
        complete online Student Organization Orientation Training (SOOT) and each complete the
        online CollegiateLink quiz
     •  A full-time faculty or staff advisor confirms his/her status via an online CollegiateLink form
     •  A constitution uploaded in CollegiateLink at time of recognition and upon any changes which
        contains a developed mission and inclusivity statement
     •  Students are identified in leadership positions (minimally the president, vice president, and
        treasurer) in CollegiateLink at time of recognition and again by Friday, April 6, 2012
     •  A current student organization roster is uploaded in CollegiateLink at time of recognition and
        again by Friday, April 6, 2012
     •  The student organization CollegiateLink contact page is regularly updated including a student
        organization logo uploaded at time of recognition

The 2011-2012 recognition period for currently recognized student organizations and prospective new groups will begin Tuesday, July 5 and end on Friday, November 4, 2011.  Groups that fail to meet these deadlines and requirements will be eligible for the 2012-2013 recognition period spring/summer 2012.

Students may choose to start a new student organization upon meeting the following parameters:

     •  The purpose and mission of the potential new group does not currently exist as a recognized
        student organization
     •  The potential new group must be unique from currently recognized student organizations
     •  Organizers will meet with OCA staff
     •  A preliminary constitution will be developed and consideration given to secure a full-time
        faculty/staff members to serve as advisor
     •  The potential new group will meet the minimum standards and requirements as set for the
        re-recognition of current student organizations
     •  New student organizations that possess a similar mission to a previously recognized group
        will be placed “on hold” and unable to form until the close of the recognition period – this
        ensures that a previously recognized group either remains or is replaced

Rubric for Recognition:

     □  Meets the minimum standards and definition of a Drexel University “student organization”

     □  Identify student leadership:
               □  President
               □  Vice President (or second-in-command designee)
               □  Treasurer

     □  Upload constitution that contains:
               □  Mission statement
               □  Inclusivity statement
               □  Also upload a national constitution (for applicable groups)

     □  Complete SOOT
               □  President
               □  Vice President (or second-in-command designee)
               □  Treasurer

     □  Upload roster in CollegiateLink

     □  Identify leadership in CollegiateLink

     □  Confirmation from full-time faculty or staff advisor

     □  Updated CollegiateLink student organization page with logo

     □  Meets core values as established by OCA – members are:
               □  Educated
               □  Engaged
               □  Inspired
               □  Transformed
